Overview and Control tables structure

Previous pageReturn to chapter overviewNext page

Financial Reporter provides a flexible, table-driven method to specify both descriptive information and Account groupings for Financial Statements.

It provides comparative consolidated data for Balance, year-to-date Balance, Budget and year-to-date Budget for an individual Period or a range of Periods. Comparatives are with Budget and with the corresponding Period or range of Periods from Last Year (for Income Statements) or to the Final Period of Last Year (for Balance Sheets).

Its advanced relational approach to General Ledger Account consolidations means that you don't need to use some predetermined, restrictive Account numbering scheme for your General Ledger.

It provides powerful support for multiple segment Chart of Accounts. Financial segments are specified for the Detail grouping in which they occur. Powerful choices for other segments enable complete report time flexibility and the convenience of a single report request that produces multiple report variations.

The Control tables enable subdividing consolidated data to three levels. This structure is well suited to Balance Sheets and Income Statements.

These levels are:

Major

Top  level. In typical Balance Sheets and Income Statements it has just two entries.

In a typical Balance Sheet, for example, one Major entry is Assets and the other is Liabilities & Shareholder's Equity.
In a typical Income Statement, for example, one Major entry is Income and the other is Expense.

Minor

The next level down, dividing a Major category into various sub-categories or groups.

In a Balance Sheet, for example, the Major category of Assets could be sub-divided into different kinds of Assets such as Current Assets, Fixed Assets and Long-Term Assets etc.
In an Income Statement, for example, the Major category of Income could be sub-divided into different kinds of Income, such as Products Revenues, Parts Revenues and Services Revenues etc.

Detail

Represents the lowest level, dividing a Minor category into further sub-categories or groups.

In a Balance Sheet, for example, the Minor category of Current Assets could be further sub-divided into Detail categories such as Cash in Banks, Accounts Receivable and Inventories etc.

In an Income Statement, for example, the Minor category of Products Revenues could be further sub-divided into Detail categories such as Product Sales and Less Cost of Product Sales etc.

Each Detail group can summarize any number of General Ledger Accounts. For example, the Detail group for Cash in Banks could refer to a number of different Bank accounts in the General Ledger. The totals from these different Banks would be summarized into this one Detail item for Cash in Banks.

Control tables structure

These five control tables form a hierarchy that descends from the Report table.
Each table at a lower level adds one more key field so that table can have more than one record that relates to the record at the level above it.

For example, one record in the Report table controls several records in the Major table. Each of those records in the Major table controls several records in the Minor table ... and so on and so on. Here's the hierarchy of the control tables...
